Adding notes, checklists, and attachments to your board tasks is a great way to stay organized and keep your team on the same page. These features let you add important details, break tasks into actionable steps, and keep all related files in one placeโ€”right inside your task view.

This guide explains how to use these features across Web, Desktop, Android, and iOS. It also includes instructions for adding third-party attachments (available for Workspace members only).

Who Can Use These Features?

  • Family and Workspace members can add notes, checklists, and files to board tasks.

  • Third-party file attachments (Google Drive, OneDrive, Dropbox, and Box) are available to Workspace members only and must be added via the Web app.

Each task can include multiple notes, checklists, and attachments. The total storage limit for attachments per task is 100MB.

Notes help you add context and extra information to a task. This is great for instructions, background details, or anything that needs to be remembered later.

  1. Open the task

  2. Type in or paste from the clipboard where it says "Add notes.."

  3. Click away.

  1. Open the task

  2. Type in or paste from the clipboard in the notes section.

  3. Press done\enter.

๐Ÿ“ Working with Checklists in Board-Tasks

Checklists help you break a task into smaller steps. You can add multiple checklists, reorder them, assign checklist items to teammates, and even set due dates for individual items.

๐Ÿ’ป On Web/ Desktop

  1. Open the task.

  2. Click the blue + button and select Checklist.

  3. Rename the checklist by clicking on the default title.

  4. Add items using the "Add a new checklist item" field.

  5. Click on an item to rename or edit.

  6. Reorder entire checklists or checklist items using drag and drop.

  7. Collapse or expand checklists by clicking the arrow next to their title.

  8. To assign a checklist item or set a due date, click the three dots beside the item and choose the appropriate option.

  1. Open the task.

  2. Tap "Tap to add checklist" and name it.

  3. Tap save or swipe down to confirm.

  4. Add new items using the "Add new item" field.

  5. Tap any item to edit, assign members, or set a due date.

๐Ÿ“Ž Attaching and Viewing Files in Board-Tasks

You can attach files like images, PDFs, audio files, and documents to your tasks. Once added, attachments can be previewed, opened in gallery view (on Web), or listened to (in the case of audio files).

๐Ÿ’ป On Web/ Desktop

  1. Open the task.

  2. Click the blue + button in the bottom-right corner and select Attachment.

  3. Choose a file from your device and wait for the upload to complete.

  4. You can also drag and drop one or multiple files directly into the task.

  5. To view attachments, click on any file. Use arrows to browse multiple files in gallery mode.

  6. Click an audio file to listen directly within the task.

  7. To remove an attachment, click the gray trash/bin icon next to the file.

๐Ÿ“ฑ On Android/iOS

  1. Open the task.

  2. Tap "Tap to add attachment."

  3. Choose a file.

  4. Wait for upload to finish.

  5. Tap the top-right save icon or swipe down to save.

  6. Tap a file to view or listen. To remove, tap the gray X icon next to it.

๐Ÿ’ก HEIC files are supported. Gallery view is only available on Web.

  1. Open the task.

  2. Click the blue + button.

  3. Select your preferred service (Google Drive, Dropbox, OneDrive, Box).

  4. Log in with your account.

  5. Choose the file you want to attach.

๐Ÿ’ก Third-party files will show a small icon to indicate the service (e.g. a Drive or Dropbox logo). These files can be viewed on mobile, but can only be added via Web.

No, you can add as many notes or checklists as needed. Just keep in mind the attachment size limit is 100MB per task.
