The Gantt Chart feature in Any.do Workspace provides a visual representation of project schedules for teams, team leaders, and collaborators. This feature helps track progress, allocate tasks efficiently, and manage deadlines effectively.

Available exclusively for Workspace users on desktop/web, this tool simplifies project management with an interactive drag-and-drop interface.

The Gantt Chart view in Any.do Workspace enables teams to:

  • Drag and drop tasks onto specific dates.

  • Stretch tasks across weeks or months.

  • View project timelines in weekly, bi-weekly, monthly, or quarterly displays.

  • Group tasks by sections, people, or tags.

  • Set and adjust task durations dynamically.

  • Ensure proper scheduling with start dates, due dates, and reminders.

  • Create new tasks quickly with a default duration of one day.

Accessing the Gantt view in Any.do is simple and allows you to visualize your project schedule instantly.

  1. To open the Gantt view, navigate to any of your boards.

  2. Click on the "View" option in the top menu and select "Gantt" from the dropdown list.

  3. Your tasks will now be displayed in a timeline format, ready to be organized and scheduled.


βœ… Creating and Organizing Tasks

✏️ Adding/Adjusting Tasks

To ensure seamless project execution, the Gantt view allows you to create new tasks effortlessly and organize them based on sections, people, or tags.

Click the "Create" button to add a new task. As soon as you enter a title, the task is saved automatically. By default, each new task will have a one-day duration, but you can adjust this manually by stretching the taskbar across the timeline. You can also drag unplanned tasks from the list onto specific dates within the Gantt chart.

πŸ‘€ Viewing Options and Grouping

The default view displays the next two weeks, but you can scroll left or right to see past and upcoming periods. You can also adjust the display to show weekly, monthly, or quarterly timelines. To keep your tasks organized, use the "Group by" feature to categorize tasks based on board sections, assigned people, or tags. If a task fits into multiple categories, it will appear in all relevant groups.

With the Gantt view, tasks can be scheduled with defined durations and reminders to keep teams on track. When a task spans multiple days, the Duration field automatically updates to reflect the total number of days.

The Date field will also show the full range of the task’s timeline. While tasks must have a due date, a start date is optional. Due dates allow for time-based reminders, whereas start dates only support date-based reminders.

Reminders for due dates can be customized as usual. Start date reminders, on the other hand, offer preset options such as same-day alerts at 9 AM, day-before reminders at 11:50 PM or 9 AM, two-day advance reminders at 9 AM, and one-week advance alerts at 9 AM. You can also set a custom reminder based on your preferences.

Your tasks remain accessible across different views, ensuring continuity regardless of how you manage your workflow.

While the Gantt view itself is not available on mobile, your tasks will still reflect their duration and reminders. The Duration field is hidden on mobile, but the Dates field will display the correct time frame (feature will be released on mobile by the end of Q1).

When switching from the Gantt view to the Table view, new fields such as Start Date and Duration will be visible. If you prefer not to see these fields, you can hide them by clicking the three-dot menu and selecting Custom Fields.

Additionally, tasks scheduled in the Gantt view will appear in the "My Calendar" section as all-day events. Keep in mind that tasks must have a due date, but they cannot exist with only a start date.

Note: The duration field is automatically calculated based on the Gantt chart or the dates set for a task and cannot be manually edited.
