Completing & Archiving Personal Tasks

Mark tasks as done, archive your history, and safely delete old items to keep your account running smoothly.

Updated today

Marking tasks as complete and archiving them helps you track progress while keeping your personal space clean and focused. Any.do uses a multi-step process: complete, archive, then delete - so you can review finished tasks before fully removing them. This guide walks you through how to complete, archive, and properly clear out old tasks, while avoiding performance issues caused by unnecessary clutter.

βœ… Completing a Personal Task

Completed tasks will appear as swiped in your active task-list. They remain visible until you manually archive or delete them, allowing for easy review or reactivation. We recommend marking tasks as completed when you're done with them. This helps declutter your active task view and allow for optimal performance.

πŸ“± On Mobile (Android & iOS)

  • Swipe the task from left to right, or

  • Open the task β†’ Tap the 3-dot menu β†’ Select Mark as complete

πŸ’‘ You can also complete tasks from the Calendar view by tapping the circle

πŸ’» On Web/Desktop

  • Tap the circle on the left side of the task, or

  • Open the task β†’ Click the checkmark icon or Mark as done option

πŸ”— Users are also able to complete items in bulk via the web app. See details here.

Note: Swiped (completed) tasks are inactive and can no longer be edited unless reactivated.

πŸ” Reactivating a Completed Task

Need to bring a task back? You can uncheck a completed item to restore it to your active list.

  • Mobile: Tap the circle again or swipe from right to left

  • Web/Desktop: Tap the circle again or click "Completed" and select the task

πŸ—ƒοΈ Archiving Completed Tasks

Archived tasks are moved out of your active lists and into the Archive / Completed Tasks folder in your app settings. This helps declutter your view without deleting your data. Archiving helps remove completed tasks from your active lists without deleting them permanently.

Archive a Single Completed Task

  • Mobile: Tap X on a completed task, or open task β†’ tap 3-dot menu β†’ Archive

  • Web/Desktop: Click the archive icon on the task or inside the task menu

Archive All Completed Tasks in a List

  • Mobile: Open a list β†’ Tap the 3-dot menu β†’ Tap Clear Completed

  • Web/Desktop: Open a list β†’ Click Clear Completed near the list’s title

πŸ’‘ On mobile, shaking the device (if enabled in settings) will instantly clear all swiped tasks

πŸ”— Users are also able to archive items in bulk via the web app. See details here.

πŸ” Restoring Archived Tasks

  • Tap to unswipe or restore the task

πŸ’» On Web/Desktop

🧹 Routine Cleanup: Exporting and Deleting Archived Tasks

Any.do was not designed for long-term data storage. If your Archived Tasks folder holds hundreds of items, you may experience sync delays, task loading issues, or performance lags, especially on mobile.

To keep your account running smoothly, we strongly recommend periodically cleaning up your archived tasks:

πŸ“€ Exporting Before Deletion (Web Only)

You can back up your completed tasks before deleting them:

  • Go to Archived Tasks on the Web app

  • Click the Send button to receive an email with your full history

πŸ—‘οΈ Deleting Archived Tasks

To fully delete a task from your account, it must first be completed, then archived, and only then deleted from the archive folder. This three-step process ensures that nothing is accidentally lost.

⚠️ Deletion is permanent and cannot be undone.

πŸ“± On Mobile (Android & iOS)

  1. Go to Settings β†’ Archived Tasks

  2. Tap Delete All to remove all archived tasks

πŸ’» On Web/Desktop

  1. Go to Archived Tasks from the profile menu

  2. Click the trash icon at the bottom of the list to delete all archived tasks

πŸ™‹ FAQs

🧾 Can I still access my completed tasks later?

Yes, completed tasks stay visible in your active list until archived. Archived tasks can always be found in Settings β†’ Archived Tasks.

πŸ” What’s the difference between completed and archived?

  • Completed: Task is marked as done but still visible in the list

  • Archived: Task is hidden from active view and moved to the archive folder

πŸ“§ Can I get a copy of my completed tasks?

Yes. Use the Export option on the web/desktop apps to receive your archived task history by email.

πŸ—‘οΈ Should I delete old tasks?

Yes. Any.do is not intended to function as a long-term archive. Keeping too many completed or archived tasks may affect your ability to sync, reorder, or interact with tasks efficiently, especially on mobile. To protect your data and maintain performance:

  • Regularly delete archived tasks that you no longer need

  • Use the Web/desktop App to export a backup before deleting (Learn how)

  • If clearing fails, contact our Support Team for help

It’s recommended to occasionally delete archived tasks to avoid sync issues, especially if you have hundreds saved.

🚫 Can I archive Grocery List items?

No. Archiving is available only for standard personal tasks.
