Assigning turns plans into action. Add one or more teammates to a task to give them ownership, and use checklist assignments to split work into bite‑size pieces. Mentions keep everyone in the loop when context changes.

✅ Who can use this feature?

  • Family: Admins and Members can assign tasks and checklist items on Family boards. Family overview

  • Workspace: Admins and Members can assign tasks and checklist items on Workspace boards. Workspace overview

  • Free & Premium (Personal Space): Not available. Assignments are part of shared boards in Spaces.

🧩 How assignments work

  • Assign tasks to one or more members. Anyone added to the board can be assigned.

  • Assign checklist items independently. Checklist owners can differ from the task owner.

  • Mentions notify people. Use @name, @Assignees, or @Everyone in task chat to alert teammates.

  • Collective views show only your assigned tasks. The 7 Days view, Old Tasks, and Calendar views include items assigned to you. Shared tasks that are not assigned to you won’t appear in these views (they remain visible on their boards).

  • Checklist notes: In Family and Workspace, checklist items support assignees, due dates, and reordering, but are not filterable, searchable, or taggable.

Make ownership obvious by assigning one or more teammates to the task so everyone knows who’s on point.

  1. Open a task on the board.

  2. Click Assign (or open Assign).

  3. Check one or more members, then Save.

❌ Remove members from a task

Unassign people when their part is done or responsibilities change—the task stays intact.

  1. Open the task → Assign (or Assign).

  2. Uncheck the member(s), then Save.

📝 Assign members to a checklist item

Split work into bite‑size steps and assign each checklist line to the right owner.

Need to split a big task? Add checklist items first, then assign them.

  1. Open the task.

  2. Next to the checklist item, open and tap Assign.

  3. Select a member.

❌ Remove members from a checklist item

Hand off a sub‑step or keep it unassigned by removing the current checklist owner.

Tip: Checklist assignments are independent from task owners, so you can re‑assign without changing the task assignee.

  1. In the task, tap the member avatar or next to the checklist item → Assign.

  2. Uncheck the member, then Save.

🔔 Mentions and notifications

Choose how loudly to nudge teammates—mentions send alerts to the right people, while regular comments keep noise low.

  • Whenever an item is assigned, the assignee will receive both a push notification, in-app notification and an email notification.

  • Assignees will receive in-app notifications regarding updates to assigned items.

  • @name, @Assignees, and @Everyone send an in‑app notification and an email to the recipients.

  • You can also route updates to Slack or WhatsApp via integrations. Slack · WhatsApp

🧠 Best practices

Quick tips to keep assignments clear, actionable, and easy to track.

  • Clarify ownership. Assign at least one owner per task. Use checklist assignments for sub‑steps.

  • Keep scope tight. Avoid over‑assigning the same task to many people unless it’s a shared deliverable.

  • Use @Assignees for action.** Reserve @Everyone for announcements.

  • Roll up work. When all checklist items are done, confirm the main task status and due date.

They might not be in your Space or not added to this board yet. Invite them, then assign. → Roles & Permissions

Not yet. Checklist items support assignees and due dates but are not filterable, searchable, or taggable.

📣 Do assignees get notified automatically?

Yes. Use @Assignees in chat to ensure they receive in‑app and email notifications.

📱 Where can I assign on mobile?

On iOS and Android, open the task to assign the task owner or tap a checklist item to assign its owner.
