Share your calendar with other users so they can see the same events

Sharing your calendar in Any.do allows you to sync events with family, friends, or colleagues, ensuring everyone stays on the same page. While Any.do does not have a direct calendar-sharing feature, you can still share your native Google, iCloud, or Outlook calendars with other members and view the same events in the app. This guide will walk you through the steps to share your calendars from these platforms and integrate them into Any.do for seamless event management.


👥 Creating a shared calendar

Any.do's Calendar Integration syncs your native calendar clients to Any.do, allowing you to see your tasks next to any of your calendar events.

Unlike boards or board-tasks, calendars cannot be shared directly through the app, however you can still see the same events as your family members or colleagues by sharing a specific calendar.

In this case you may opt to:

  1. Integrate the same calendar-client through all collaborators' accounts so that everyone van view and add events to that calendar from their own personal app.

  2. If each member has their own calendar but still wants other users to view their personal events, they can create a shareable link that other members can use to subscribe to from their personal calendar client. See instructions below.


🔗 Setting a shareable link for your native calendar

Setting a shareable link for your native calendar client will allow other members to subscribe to it so that they can see all associated events in their own Calendar View.

Just get the sharable link to your calendar and then send it to any other Any.do user in order for them to subscribe to it from their end.

To get a shareable link, please see the following instructions:

📆 To get a shareable link from Google Calendar

  1. Open Google Calendar on your desktop.

  2. Click the “My calendars” section on the left.

  3. Hover over the calendar you want to share -> More -> 'Settings and sharing'.

  4. Add the contact name or the email address of the person you want to share the calendar with.

  5. Click Send.

🍏 To get a shareable link from iCloud Calendar

  1. Open Apple’s native calendar app and choose ‘Calendars’.

  2. Scroll to iCloud calendars.

  3. Select the calendar you wish to share and click on the “i” icon.

  4. Type the invitee’s email address in the ‘Add Person’ field and press Add.

  5. To finish up, click ‘Done’.

🌐 To get a shareable link from Outlook Calendar

  1. Open Outlook calendar on your desktop.

  2. Select Calendar > Share Calendar.

  3. Choose a calendar to share.

  4. Select Add, decide who to share your calendar with, and select Add.

  5. Select OK and you'll see the added people with a default permission level.

  6. Choose a name, select the access level to give, and select OK.


➕ How to subscribe to a shared calendar

Once your shareable link is ready, send it to your collaborator and ask them to subscribe to it directly through their own calendar client (not through the Any.do app, but directly through client such as Google or Outlook). See instructions for popular calendars below:

📅 To subscribe to other calendars via Google Calendar

  1. On your computer, open Google Calendar.

  2. On the left, next to “Other calendars,” click 'Add' Subscribe to calendar.

  3. In the “Add calendar” box, enter the email address, or select one from the list.

  4. Press 'Enter'.

💡 Note: After you subscribe to your other calendars you will see them under your Google account in the visible calendars list and manage those items from there.

🌐 To subscribe to other calendars via Outlook Calendar

  1. Select Calendar.

  2. In the navigation pane, select Add calendar.

  3. Select Subscribe from web.

  4. Enter the url.

  5. Select Import.

💡 Note: After you subscribe to your other calendars you will see them under your Outlook account in the visible calendars list and manage those items from there.


👀 How to display shared calendar events in the app

Once the shared link has been implemented to to your colleague's/family member calendar-client, please have each collaborator:

  1. Integrate their main calendar (from where they subscribed to the shared calendar) as detailed here (if they haven't done so already).

  2. Then, open Any.do and go to the Calendar View.

  3. Select the calendar(s) they wish to see in their Any.do app from the visible calendars list.


🎯 FAQs

🔐 Will other members have complete access to my calendar after sharing?

With a shareable link, other members will be able to view all events in the shared calendar but will not have complete access to it. Depending on the calendar client (Google/Apple/Outlook etc) further settings may be applied.

👀 Will I see the same tasks in the calendar as other members after sharing it?

The Calendar View will display all of the shared tasks from your Family or Workspace boards that were assigned to the user and all their dated personal-tasks. Accordingly, while the same events from the shared calendar should show for each member, tasks might not be identical in each member's Calendar View.

🤔 Do I have to share my calendar?

Not at all! This option is available for people who are looking to view the same events through different accounts. If you wish to keep your calendar private then simply avoid sharing it.
