βž• Creating a New Personal List

Create as many personal lists as you need to stay organized across different areas of life.

πŸ“± On Mobile (Android & iOS)

  1. Tap the Home button (top left corner).

  2. In the Lists section, tap the + icon.

  3. Type the name of your new list.

  4. Tap Done to save.

πŸ’» On Web/Desktop

  1. Open the left-hand navigation pane.

  2. Tap the + icon next to "My Lists".

  3. Enter a list title.

  4. Click Create to save.


✏️ Editing and Deleting Lists

Rename your lists anytime or delete/ archive those you no longer need.

Rename a List

  • Mobile: Tap into the list β†’ Tap the title or 3-dot menu β†’ Choose Rename β†’ Edit and save

  • Web/Desktop: Hover over the list title β†’ Click to edit β†’ Press Enter to save

Delete a List

  • Mobile: Open the list β†’ Tap 3-dot menu β†’ Select Delete β†’ Confirm deletion

  • Web/Desktop: Click 3-dot menu next to list title β†’ Choose Archive β†’ Confirm

⚠️ Deleted/Archived lists are removed permanently.

Customize the order of your lists by dragging and dropping them.

  • Mobile: Tap the Home button, then drag and drop any list in the desired order

  • Web/Desktop: Drag and drop lists within the left-hand sidebar


πŸ”§ Changing the Default List

Set which list will automatically receive new tasks when no list is specified.

To set or change your default list:

  • Go to Settings β†’ Default List

  • Select the list you want as default


🧠 Sorting and Filtering Tasks Within a List

Control how tasks appear in your list by sorting or filtering them.

Sorting by Time or List

  • Mobile: Tap the 3-dot menu inside the list β†’ Tap Sort β†’ Choose Time or List

  • Web/Desktop: Click View next to list title β†’ Choose Sort by Time or List

Filtering Lists

Personal lists can be filtered by Tag within the mobile apps, or by tags/lists/status in the Web/desktop apps.

  • Mobile: Tap 3-dot menu β†’ Tap filter icon β†’ Choose tag(s) β†’ Tap Apply

  • Web/Desktop: Use the Filter options in All Tasks or Next 7 Days view

πŸ’‘ To remove a tag filter, open the filter menu again and tap Reset.


πŸŽ›οΈ Minimizing Task Categories

Collapse time-based sections like "Today" or "Tomorrow" to keep things tidy.

To minimize sections:

  • Tap or click the category title to collapse it

  • Tap again to expand

πŸ’‘ On Web, make sure to set your view to 'hide details' and sort by Time in order to apply the minimize options.


πŸ› οΈ Converting a Personal List to a Board

If you're on a Family or Workspace plan, you can convert personal lists into shared boards.

  • Web/Desktop only: Open the list β†’ Tap 3-dot menu β†’ Choose Convert to board

πŸ“₯ Can I import tasks into a list?

Yes! You can paste multiple items into a list via Importing Tasks.

πŸ—ƒοΈ What happens when I archive a list?

The list is removed from your sidebar, but its tasks remain accessible in Settings β†’ Archived Tasks. Note that deleted lists cannot be restored within your account.

🚫 Can I recover a deleted list?

No. Deleted lists are permanently removed.

πŸ” Can I change the sorting order later?

Yes! You can update your sorting or filters at any time using the 3-dot menu or view controls.
