Explore the power of board automations in Any.do, where each board comes to life with customized processes. Board administrators can easily set up automated actions triggered by specific conditions, such as setting due dates, moving tasks to designated sections, and more. Elevate your task management experience by streamlining workflows and reducing repetitive manual actions within each board.

The following user-types can take advantage of this feature:

  • Teams users - board admins only.

The feature is available on web/desktop apps only.

πŸ› οΈ How does it work?

  • Only Board admins can create automations, others will be only to view them.

  • Each automation can be linked to one specific board.

  • The automation can be modified after creation for further customization or deletion.

  • The automation can be created and saved and visible to all board members.

  • You can create as many automations as you wish.

  • The activity section will show the automation as an activity.

If you set a rule that does not make sense the automation will show in red. For instance, if a rule includes a tag that has been deleted or references a section that has been archived, it will appear in red to indicate the inconsistency.

  1. From a board view, click on "Automations" next to lightning icon.

  2. Click on the gaps to add the rule.

  3. Click 'Save'.

  1. From a board view, click on "Automations" next to lightning icon.

  2. On the right, you will see some suggested examples of rules.

  3. Click on the plus to add the example.

  4. Click on the gray text to input the rule.

  5. Click 'Save'.

To hide all examples click on "Hide Examples".

  1. From a board view, click on "Automations" next to lightning icon.

  2. To delete it click on the trash icon.

  3. To edit it select the automation edit it and click on 'save'.

Only board admins can delete or edit the automation.


✍️ Available Triggers and actions

Available Triggers

To set an automation within a board, you need to first select a trigger which will 'fire up' your automation. The available triggers are:

  • Moves to - Meaning when the task is moves to a specific section in the board.

  • Adds a tag - Meaning when the task is tagged with a specific tag.

  • Is assigned to - Meaning when the task is assigned to a specific user within the board

  • Is created - Meaning when the task is created

Available Actions

Once the trigger is set, you can continue to set your template with the action that will take place as soon as the automation is initiated. Available actions are:

  • Move to - Meaning the task will move to a specific section in the board.

  • Assign to - Meaning the task will be assigned to a specific user within the board.

  • Assign to - Meaning the task will lose a specific assignee or all assignees, depending on the user's preference.

  • Adds a tag - Meaning the task will be tagged with a specific tag

  • Remove tag - Meaning the task will have a specific tag removed or all associated tags, depending on the user's preference.

  • Add due date - Meaning the task will be set with a due date from the following options: The same day, the next day, in two days, the following week, in two weeks or the following month, per the user's choice.

  • Remove due date - Meaning the task will have any associated due date removed.
