Creating and Managing Custom Fields in Workspace Boards

Custom Fields are like extra columns you can add to your tasks. They help you organize important details your way, so nothing slips through the cracks. From budgets and ratings to deadlines and client info, you can customize each board with exactly what your team needs.

πŸ“„ How to Create a Custom Field

Custom Fields can include numbers, dates, dropdowns, links, and more. Each board admin can choose which fields appear for their board-tasks.

  1. Open a board

  2. Click the 3-dot menu β†’ Custom Fields

  3. Click the blue + button

  4. Choose a field type (see examples below)

  5. Name the field β†’ Add

Use any combination of fields to better structure your boards:

✍️ Text Field

A versatile field that allows users to input free-form text. It’s ideal for adding notes, detailed descriptions, comments, or any other text-based information relevant to a task or project.

A field designed specifically for numerical input. Use it to record quantities, measurements, statistics, or any data that requires numerical representation, ensuring calculations and analyses are accurate.

A field that enables users to select or input a specific date. This is useful for setting due dates, scheduling events, tracking deadlines, or noting any date-specific information essential to task management.

A field that offers a predefined list of options for users to choose from. It ensures data consistency and is useful for categorizing tasks, assigning statuses, setting priorities, or selecting from standardized choices.

A field for entering geographical information. Users can input addresses, coordinates, or place names, making it useful for planning events, scheduling meetings, assigning delivery locations, or any task that involves a specific location. We use google maps to validate the location of each field.

A field formatted to accept phone numbers. It standardizes the input of contact numbers, making it easy to store and retrieve phone information for clients, team members, or vendors directly within a task.

A field designated for entering email addresses, ensuring inputs follow standard email formats. It’s useful for storing contact information, facilitating quick communication, or linking tasks to specific stakeholders.

A field tailored for monetary values, allowing users to input amounts in specific currencies. This is ideal for budgeting, tracking expenses, setting financial targets, or any task involving financial data.

Here are some practical examples of how Custom Fields can be utilized in your Workspace:

  • Project Status: Add a dropdown Custom Field with options like "Not Started," "In Progress," and "Completed" to track the status of each project.

  • Priority Level: Use a number or dropdown Custom Field to assign priority levels to tasks, helping teams focus on the most critical work first.

  • Due Dates: Incorporate date Custom Fields to set specific deadlines for tasks, ensuring timely completion and accountability.

  • Budget Tracking: Add a number Custom Field to monitor the budget allocated to each project or task, aiding in financial management and oversight.

  • Client Information: Use text Custom Fields to store client names, contact details, or other relevant information directly within tasks and projects.


πŸ“… How to Show or Hide Fields

When displaying your boards in the Table View format, board-admins can choose if they want to display the field in their overview or hide it. To do so, follow these steps:

  1. Open a board

  2. Click the 3-dot menu β†’ Custom Fields

  3. Check/uncheck each field to toggle visibility


✍️ How to Edit or Reorder Fields

Make quick changes to update field titles or their order in task previews:

  1. Open a board β†’ 3-dot menu β†’ Custom Fields

  2. Click a field name to edit title or dropdown options

  3. Use the dotted handle to drag and reorder fields

Note: Default fields (like title) cannot be renamed or reordered.

To reorder the display of your fields within your board-tasks, simply click the dotted icon next to the field's title and drag and drop the item to your liking.


❌ How to Delete a Custom Field

Need to remove a field? Here's how:

  1. Open a board β†’ 3-dot menu β†’ Custom Fields

  2. Click the gray bin icon next to the field name

⚠️ This will permanently remove all data from that field across the board.

Note: You can only delete a custom field not a default field.

😎 What are Custom Fields for?

They let you add and organize extra information per task (like a client's name, a priority level, or a budget number).

😊 Who can create/edit Custom Fields?

Only board admins on Workspace plans can create or modify fields.

πŸ“ƒ Can I use the same Custom Field across multiple boards?

No. Fields are created per board. You'll need to recreate them on each new board or create a custom template with those fields to create multiple similar boards.

πŸ“ Will mobile support Custom Fields?

Yes! We're the mobile apps (Android & iOS) will sync and display all custom fields created in the Web/desktop app. For now, full setup is only available on Web/Desktop.

🚫 Can checklist items have Custom Fields?

Not currently. Fields apply only to board-tasks.

πŸš€ Can I reorder how fields appear in tasks?

Yes! On Web/Desktop, drag and drop fields in the Custom Fields menu.

πŸ€– Why can’t I add or change a field?

Make sure you're a board admin. If you are and still have issues, contact support.
