Creating and Managing Boards

A complete guide to setting up, customizing, and managing your collaborative boards.

Boards help you plan and organize collaborative projects using sections and tasks. Whether you're setting up a new project, organizing a family chore list, or starting a team workflow, boards make it easy to see everything in one place and get things done together.

You can create a board from scratch or use one of Any.do’s built-in templates to jumpstart your work. Boards can be private, shared with your workspace or family, and even made viewable to others if you’re on a team plan.

  • Free & Premium: ❌ Boards not available

  • Family: βœ… Up to 4 shared boards or grocery lists (you can create more, but they won't be shareable)

  • Workspace: βœ… Unlimited boards with advanced permissions and sharing options

βš–οΈ How to Create a Board

You can create a board from a blank layout or choose from ready-made templates.

πŸ–₯️ On Web & Desktop

  1. Go to the left panel under your Workspace or Family Space.

  2. Click + Add new board or the gray + next to the space name.

  3. Select Create a board.

  4. Enter a board name.

  5. Choose a template or click Create a blank board.

  6. Optional: Toggle Make private (Workspace only).

  7. Click Create.

  1. From the Home screen, press the gray + under the space name.

  2. Tap Create a board.

  3. Enter a board name.

  4. Optional: Toggle Make private (Workspace only).

  5. Tap Next to name your first section.

πŸ”’ How to Make Boards Private or Public

Private boards are only available for Workspace users. They are hidden from your Workspace directory and only accessible to people you invite.

If you turn off the private toggle, the board becomes visible to Workspace members only in the shared board directory β€” not to external users.

If needed, Workspace boards can also be shared externally through a public view-only link.

  • While creating: Toggle "Make Private" before creating the board.

  • After creation: Click the 3-dot menu on the board and select Make Private or Make Public (Workspace only).

πŸ“± On Android & iOS

  • Tap the 3-dot menu on the board.

  • Select Convert to Private or Convert to Public.

πŸ”” Note: If the toggle is unavailable, it is probably since you're not the board's admin.


πŸ” How to Browse and Join Existing Boards

Use the board directory to explore and join boards in your shared space. Private boards will not appear unless you're invited.

  1. From the left menu, click + Add new board or the gray +.

  2. Select Browse boards.

  3. Click Join next to any visible board.

πŸ“± On Android & iOS

  1. Tap the gray + under the space name.

  2. Tap Browse boards.

  3. Tap Join or Leave next to any board.


✍️ How to Rename or Customize Your Board

Boards can be customized to make them easier to navigate and more visually appealing for your team.

πŸ–₯️ On Web/Desktop

  • Rename: Open the board β†’ Click the board name β†’ Type your new title.

  • Add an emoji: Click the 3-line icon next to the name β†’ Select or search for an emoji.

  • Change layout: Open the 3-dot menu β†’ Select Compact to reduce spacing between tasks (Workspace only).

Compact layout is available only for Workspace boards

πŸ“± On Android & iOS

  • Rename: Open the board β†’ Tap the board name β†’ Enter the new title.

  • Add an emoji: Tap the name field while editing and insert an emoji at the beginning.

πŸ’‘ Emojis appear in the side menu (web) and the Home screen (mobile) to help visually differentiate your boards.


πŸ”„ How to Reorder or Delete Boards

You can easily change the order of your boards or remove them when no longer needed.

  • Reorder: Drag and drop boards from the side menu.

  • Delete: Open the 3-dot menu on the board β†’ Select Archive or Delete. Learn more

  • Reorder: From the Home screen, drag and drop boards into the desired order.

  • Delete: Open the 3-dot menu on the board β†’ Tap Archive or Delete.

πŸ†“ Can Free or Premium users create boards?

No. Boards are only available on Family and Workspace plans. Learn more about plan differences.

πŸ”’ How many boards can I create?

  • Family: You can create unlimited boards, but only 4 can be shared at a time (including grocery boards).

  • Workspace: Unlimited boards

πŸ”’ What's the difference between public and private boards?

  • Private: Only visible to invited members, hidden from the board directory.

  • Public (within Workspace): Visible to all Workspace members via the board directory.

  • External sharing: Workspace boards can also be shared via view-only public links.

πŸ“± Can I create boards on mobile?

Yes. Both Android and iOS support board creation, though some features (like templates or privacy toggles) may be limited.

πŸ”ƒ Can I reorder my boards?

Yes! Drag and drop boards in the side menu on desktop or from the Home screen on mobile.

Yes. You can archive or delete a board from the 3-dot menu. Learn more here. Be advised that all associated-tasks will be removed as well as you delete their board.
