How to sync and back up your Any.do account

Keep your tasks, reminders, and planning safely synced across devices, so you can switch devices without ever losing a thing.

Any.do is designed to keep your data available wherever you are. When you sign in on multiple devices, your tasks and updates sync through your account, not through a single phone. In most cases, syncing happens automatically and you do not need to do anything. If something looks out of date or missing, this guide helps you refresh your data and troubleshoot common sync issues.

🧠 How syncing and backup work in Any.do

  • Your Any.do data is connected to your account email and sign-in method.

  • As long as you are signed in with the same account, your data syncs across devices.

  • Your tasks are backed up to Any.do’s servers, so you can restore them by logging back in.

🦾 Automatic sync

Automatic sync keeps everything updated in the background when you are online.

Any.do syncs your tasks and account data automatically as long as:

  • You are connected to the internet

  • You are signed in with the same account on each device

What syncs automatically:

  • Personal tasks and lists

  • Board tasks (Family and Workspace)

  • Due dates, reminders, notes, and attachments

Note: Calendar events follow your calendar integration and may refresh on a slightly different schedule (depending on device and background/client sync).

Manual sync can help when a device was offline, slow to update, or showing older data. Before you start, confirm you are logged into the correct account under Settings β†’ Profile.

  1. Open Any.do.

  2. Go to All Tasks or your full tasks view.

  3. Tap the 3-dot menu (top right).

  4. Tap the sync icon (spinning arrows).

Calendar events sync through your calendar provider and may require separate setup per device. Any.do shows events using calendar integrations (like Google, Outlook, or iCloud). This means events are pulled from your calendar provider, not stored as tasks in Any.do.

Important notes:

  • Calendar integrations usually need to be connected separately on each device.

  • If you see different calendars on different devices, you likely connected different calendar accounts.

On mobile, events are synced through your device’s calendar sync.

  1. Open your device’s native calendar app and allow it to finish syncing.

  2. Reopen Any.do and check your calendar view again.

Your backup is automatic as long as you are online and signed in. Any.do does not require manual backups. When you are connected to the internet, your updates are saved to your account and stored securely.

Offline use is possible in limited scenarios, but it is not recommended for long periods.

If you open Any.do and then lose connection, you can usually still view items and add new ones. To avoid data loss:

  • Keep the app open until your connection returns

  • Sync manually once you are back online

Important: Any.do does not store your data locally as a full offline database, so changes may not fully save until you reconnect.


πŸ‘Ύ What to do when your data is not syncing

These steps cover the most common reasons tasks look different across devices.

  1. Confirm the account email. On each device, go to Settings β†’ Profile and confirm you see the same email.

  2. Confirm the sign-in method. If you signed up with Google, Apple, or Facebook, make sure you are still using that same sign-in button.

  3. Run manual sync. Follow the steps in πŸ”§ Manually sync your tasks and account data above.

  4. Check the Web app. Sign in at Any.do Web to see whether your data is present there.

  5. Contact support if it persists. Include a screenshot of Settings β†’ Profile from the affected device.

πŸ”’ If your Workspace or Family data looks missing after canceling

Sometimes users cancel a Workspace or Family plan, or finish a trial, and think their data was deleted. In many cases, the data is still there, but access to certain shared items can become locked when the plan expires. This is especially common if you created a Workspace or Family space during a trial and later returned to the personal space.

What to do:

  • Renew the plan to restore full access.

  • If you are unsure which space contains the data, contact support and we can help you locate it.

🧩 Do I need to do anything to back up my account?

No. As long as you are online and signed in, your tasks are automatically synced and backed up to your account.

πŸ”„ How do I force a refresh if one device is behind?

Try a manual sync. On mobile, use the sync icon from All Tasks. On Web/Desktop, use the sync icon in the top bar.

πŸ“± I switched phones. How do I get my tasks back?

Install Any.do on the new device and log in using the same sign-in method you used before. Your tasks will load automatically.

πŸ—“οΈ Why are my calendar events different on two devices?

Calendar integrations usually need to be connected separately per device. Make sure you connected the same calendar account on each device, then refresh events.

🧯 My account looks empty after I logged in. What happened?

Most of the time, this means you logged into a different account or used a different sign-in method. Go to Settings β†’ Profile and confirm the email, then log out and back in using the original method. If there's still an issue, contact support with your account details and we will gladly help you out.

πŸ”’ I canceled Workspace or Family and now I cannot see my shared items. Were they deleted?

Usually not. Shared items may be locked when a Workspace or Family plan expires. Renewing the plan typically restores access. If you need help locating the right space, contact support.
