The All Tasks View

A container for all your personal and shared items.

The All Tasks view is an efficient way to review all upcoming personal and assigned Board tasks. It was designed to help users manage and complete tasks with ease by easily viewing everything that's coming up on your todo.

This view can be drilled-down and sorted according to your needs, by specific time periods or by lists (for personal items).

Availability:

  • Personal users (free).

  • Premium users.

  • Family users.

  • Teams users.

  • Supported on all platforms.


🛠️ How does it work?

  • The All Tasks view is available through the app's navigations screens.

  • This view can show personnel tasks sorted by time or by list in a single or multi-column view.

  • The time sorting will divide the tasks into four categories: "Today," "Tomorrow," "Upcoming," and "Someday."

  • Tasks that are added to a time category will get a due date and reminder added at the time you set it + 5 minutes.

  • The "All Tasks" view is where you can manage, organize and prioritize all of your tasks. Staying up to date with your to-dos has never been easier.

  • For users that have a Space, on the desktop platform they can toggle the bar next to the title to see the board tasks assigned to them displayed by time categories.

  • Workspace (teams) and Family users can also choose to hide or unhide overdue tasks.


⚙️ General Display Options

🗂️ To launch the All Tasks view

📱 iOS/ Android

  1. From the home menu

  2. Tap on "All Tasks".

To exit the view tap on the home menu

💻 Web/ Desktop

  1. From the Navigation pane on the left side of the screen.

  2. Click on “All Tasks”.


🔀 To switch between the Personal and Space displays

Next to the 'All My Task' view title, toggle the name of the space to see all of the Board tasks assigned to you. Toggle back to 'My Lists' to view all of your personal tasks.

👤 Managing Personal Tasks

✅ To add a Personal task

📱 Android/ iOS

  1. Add a task from the quick add bar or by the + option.

💻 Web/ Desktop

  1. Type in the task title from the "Add task".

💡 For personal tasks, you can also add tag\due date\ assign a list from the icons above the input.


💤 To add a task without a due date

If you have tasks sorted by time you can add tasks directly to the "Someday" section from the input or drag tasks to that section to remove the due date.

You can also open the task menu -> reminder / due date and select "Someday".


⚙️ To change the sorting of tasks to list/time

Note: This option is only available in the Personal Tasks display. Boards tasks will always display by time categories.

📱 Android/ iOS

  1. Tap on the menu

    on the top right corner of your list.

  2. Select Sort

  3. Choose between ‘Time’ sorting and ‘List’ sorting.

💻 Web/ Desktop

  1. Click on the menu next to the list’s title.

  2. Next to “Sort by” tap on “Time” or “List”.

Time Categories

Meaning

Today

The due date is today or overdue.

Tomorrow

The due date is tomorrow

Upcoming

Has a future due date but not for today or tomorrow

Someday

No due date


⏳ Task-progression when sorting by Time

When sorting the All Tasks view by Time, users will see the following time categories:

  • Today - For personal-tasks scheduled for the current due, or overdue items.

  • Tomorrow - For personal-tasks scheduled for the next day.

  • Upcoming - For all other scheduled personal-tasks.

  • Someday - For personal-tasks without any due date or reminder associated.

The items will be added to each category according to the reminder settings you've added in each one.

You can also choose to add items directly to these categories for easy set up of due dates and reminders on the mobile apps:

📱 Android/ iOS

  1. Tap on the + icon next to the category.

  2. Add your task accordingly.

  3. An auto-reminder will be set per the time category you've added to:

    1. Today - the task will get a reminder for the current day.

    2. Tomorrow - the task will get a reminder for the next day at 9AM.

    3. Upcoming - the task will get a reminder for the following week at 9AM.

    4. Someday - these items will remain without a reminder or due date.

💡 On Web you can add personal-tasks directly under these time-categories by changing to the multi-column display and adding the items in each column. Be advised though that this will not add auto-reminders to your items.

Note: Auto-reminders are preset and cannot be customized. If you prefer adding your own reminders, you may simply add the tasks from the quick-add bar as normal.

As the task's due date/reminder approaches, the personal-tasks will move within the time-categories on the mobile app accordingly. For example, if you've set a task for the following week it will first display in the Upcoming section, until it's close to the deadline and will be moved to the Tomorrow category. On the due date exactly, it will move again to the Today section. All personal-tasks will move in the same way accordingly on the mobile apps.

Note: If you do not wish to see this progression on the mobile apps, you may simply switch to the List sorting instead.


⚙️ To view tasks in multi or single-column

💻 Web/ Desktop

  1. Open the 3 dots menu.

  2. Select the view single column or multiple columns from under the same menu.


❌ To clear personal completed tasks

📱 Android/ iOS

  1. Tap on the menu

    on the top right corner of your list.

  2. Select the "Clear"

💻 Web/ Desktop

  1. Open the 3 dots menu.

  2. Click on "Clear completed"

Note: This option is only available in the Personal Tasks display.


👥 Managing Board Tasks

✅ To add a board task

  1. Add a task from the quick add bar or by the + option.

💻 Web/ Desktop

  1. Type in the task title form the “Add task”.

💡 For board tasks you can add tag\due date\ assign a board from the icons above the input.


⚙️ To change the layout of the tasks

💻 Web/ Desktop

  1. Open the 3 dots menu.

  2. Select "Compact" to see more tasks per column.
