Managing a shared Space should feel simple, even when you are handling multiple members, permissions, and settings. This guide explains how the Space Management screen works, what you can do from it, and how Family and Workspace admins can keep everything organized from one place.

๐Ÿ› ๏ธ What Is the Space Management screen in Any.do?

The Space Management screen is the main control center for your shared Space. If you are an admin of a Family Space or Workspace, you can use this screen to manage members, update roles, review billing details, change shared settings, and more.

Instead of switching between different menus, you can manage most shared-Space actions from one central place.


๐Ÿ–ฅ๏ธ How to access the Space Management screen

If you are a Space Admin, opening the Space Management screen only takes a few clicks. To access the Space Management screen:

  1. Open Any.do on Web or Desktop.

  2. Click the settings icon or your avatar next to your profile name in the top-left area.

  3. Select Manage Space.

Once the screen opens, you will be able to review the settings and admin options for that specific shared Space.


๐Ÿ”„ How to switch between multiple shared Spaces

If you manage more than one shared Space, you do not need to leave the screen and start over each time. The Space Management screen lets you move between Spaces more easily. To switch between shared Spaces:

  1. Open the Space Management screen.

  2. Click the drop-down arrow next to the current Space name.

  3. Select the Family Space or Workspace you want to manage.

This is especially useful if you manage multiple Workspaces, or if you use both a Family Space and a Workspace from the same account.


โœ๏ธ How to rename your shared Space

Renaming your shared Space can help make it easier for members to recognize the correct team, family, or project area. To rename your shared Space:

  1. Open the Space Management screen.

  2. Click the 3-dot menu in the top-right corner.

  3. Select Rename Space.

  4. Enter the new name.

  5. Save your changes.

Your updated Space name will appear for all members in that shared Space.


๐Ÿ‘ฅ How to manage members and user roles in a shared Space

Admins can use the Space Management screen to control who has access to the shared Space and what each member is allowed to do. This is especially useful when you need to promote another admin, limit access, or prepare to leave the shared Space yourself. To change a memberโ€™s role:

  1. Open the Space Management screen.

  2. Find the member in the list of Space members.

  3. Click the role shown next to that memberโ€™s name.

  4. Choose the new role you want to assign.

Admins have full access to shared-Space management, including billing visibility and administrative settings. Because of this, admin permissions should only be given to trusted members.

If someone else needs to help manage the shared Space, you can assign them admin access directly from the same screen.

To assign another admin:

  1. Open the Space Management screen.

  2. Locate the member you want to update.

  3. Click their current role.

  4. Change their role to Admin.

Once that member becomes an admin, they will be able to access the Space Management screen and manage the shared Space as well.

๐Ÿšช How to leave a shared Space after assigning a new admin

If you no longer want to manage the shared Space, make sure another admin is in place first. This helps ensure the Space continues to be managed properly after you leave.

Before leaving a shared Space:

  1. Make sure another trusted member has been assigned as Admin.

  2. Confirm that the new admin can access the shared Space settings.

  3. Then update your own role or leave the Space as needed.

This is especially important for billing continuity and ongoing member management.


๐Ÿง  How to turn shared Space features on or off

The Space Management screen also lets admins control certain shared features for everyone in the Space. This is useful when you want to standardize the experience across your Family Space or Workspace.

Admins can currently manage shared settings such as:

When a shared feature is turned off, all members in that Space lose access to it until it is turned back on.

To turn a shared feature on or off:

  1. Open the Space Management screen.

  2. Find the relevant shared feature setting.

  3. Toggle the feature On or Off.


๐Ÿงพ How to manage billing details from the Space Management screen

If you are the admin of a paid shared Space, you can also use the Space Management screen to review billing-related information without leaving your shared Space settings.

From the billing area, admins can:

  1. View the current plan details

  2. Access invoices

  3. Set the invoice email address

  4. Review billing information for the shared Space

๐Ÿ—‘๏ธ How to delete a shared Space

Deleting a shared Space is a serious step, so it is important to review access and ownership first. Deleting the shared Space removes it for everyone in that Space, and this action cannot be reversed.

Note: Deleting a shared Space is not the same as canceling a subscription. If the goal is to stop future billing, make sure the subscription is canceled separately.

Before deleting a shared Space:

  1. Make sure the subscription has already been canceled if you no longer want billing to continue.

  2. Confirm that you have full admin rights across all boards in that shared Space.

  3. If another member is the admin of a board and you are not, ask them to transfer board admin access or remove the board first.

To delete a shared Space:

  1. Open the Space Management screen.

  2. Click the 3-dot menu in the top-right corner.

  3. Select Delete.

  4. Confirm the deletion.


โ„น๏ธ Important notes about the Space Management screen

A few details are important to keep in mind before using the Space Management screen:

  • Only Space Admins can access this screen

  • The screen is available on Web and Desktop only

  • Members cannot remove a shared Space themselves

  • If a member wants the shared Space removed from their account, they must ask an admin to remove them

  • Billing details are visible to admins only
