Custom Fields in Any.do empower Workspace users to tailor their task management experience by adding personalized data points to their tasks and projects. This feature enhances organization, allowing teams to track specific information that matters most to their workflow.

Unlike standard fields, Custom Fields can be customized to fit the unique requirements of your Workspace, allowing board-admins to add additional attributes to board-tasks as a way to capture and display information that is specific to the team's processes.

Whether you need to monitor project statuses, assign priorities, or categorize tasks in unique ways, Custom Fields provide the flexibility to adapt Any.do to your team's specific needs.

πŸ“‹ How to create a Custom Field

Within your boards, you can add different custom fields to your board-tasks such as text/progress/number/link etc (see full list below). Adding Custom Fields is a straightforward process that can be done directly from your Workspace boards from the web/desktop apps by the board-admin, following these steps :

  1. Open a specific board.

  2. Open the 3 dots menu.

  3. Select "Custom fields".

  4. Click in the Blue Plus.

  5. Select the type of field.

  6. Name the field and click on "Add"

Or if you are in a board table view:

  1. Press the blue plus on the right side

  2. Select the type of field.

  3. Name the field and click on "Add"

Within you Workspace boards, board admins can choose to add any of the following fields to their tasks:

✍️ Text Field

A versatile field that allows users to input free-form text. It’s ideal for adding notes, detailed descriptions, comments, or any other text-based information relevant to a task or project.

A field designed specifically for numerical input. Use it to record quantities, measurements, statistics, or any data that requires numerical representation, ensuring calculations and analyses are accurate.

A field that enables users to select or input a specific date. This is useful for setting due dates, scheduling events, tracking deadlines, or noting any date-specific information essential to task management.

A field that offers a predefined list of options for users to choose from. It ensures data consistency and is useful for categorizing tasks, assigning statuses, setting priorities, or selecting from standardized choices.

A field for entering geographical information. Users can input addresses, coordinates, or place names, making it useful for planning events, scheduling meetings, assigning delivery locations, or any task that involves a specific location. We use google maps to validate the location of each field.

A field formatted to accept phone numbers. It standardizes the input of contact numbers, making it easy to store and retrieve phone information for clients, team members, or vendors directly within a task.

Here are some practical examples of how Custom Fields can be utilized in your Workspace:

  • Project Status: Add a dropdown Custom Field with options like "Not Started," "In Progress," and "Completed" to track the status of each project.

  • Priority Level: Use a number or dropdown Custom Field to assign priority levels to tasks, helping teams focus on the most critical work first.

  • Due Dates: Incorporate date Custom Fields to set specific deadlines for tasks, ensuring timely completion and accountability.

  • Budget Tracking: Add a number Custom Field to monitor the budget allocated to each project or task, aiding in financial management and oversight.

  • Client Information: Use text Custom Fields to store client names, contact details, or other relevant information directly within tasks and projects.


πŸ‘οΈ How to show/hide Custom Fields

When displaying your boards in the Table View format, board-admins can choose if they want to display the field in their overview or hide it. To do so, follow these steps:

  1. Open a specific board.

  2. Open the 3 dots menu.

  3. Select "Custom fields".

  4. Tick or untick a Field.


✍️ How to edit and reorder your Custom Fields

If you wish to edit the title of your custom field or its options, you can easily do so via

  1. Open a specific board.

  2. Open the 3 dots menu.

  3. Select "Custom fields".

  4. Click on the name of the field and edit. If the field has any specific options (like drop-down fields), just click the 'option' button to edit.

To reorder the display of your fields within your board-tasks, simply click the dotted icon next to the field's title and drag and drop the item to your liking.

Note: You can only edit a custom field, not a default field. Additionally, reordering can be applied to all items except from the title-field.


❌ How to delete a Custom Field

If a specific custom-field is no longer required, the board-admin can easily delete it so it no longer shows in the board-tasks. Be advised that this action is irreversible and will remove all data related to this field within your board.

  1. Open a specific board.

  2. Open the 3 dots menu.

  3. Select "Custom fields".

  4. Click on the gray bin icon next to the field name.

Note: You can only delete a custom field not a default field.

Not at this time. Custom Fields can only be create via our web/desktop apps.

↕️ Can I change the order in which the fields are displaying in my board-tasks?

You sure can! Just go to the board’s settings in the web or desktop app. Drag and drop the fields into your desired order as explained here. The new order will be reflected across all tasks within the board, allowing you to prioritize the most important fields.

While the functionality of Custom Fields is customizable, their appearance is standardized to maintain consistency and ease of use across your Workspace. This ensures that all team members can easily interact with and understand the Custom Fields.

This might be due to not having board-admin permissions on the specific board you wish to edit. In this case, you may ask the admin to add you as another admin to the board, or create your own board instead.
