How to set up email alerts for Board Notifications

Easily review all of your recent board notifications

Updated this week

Within their boards, Workspace members can communicate, mention others, and track each other's progress to receive real-time updates on task activity. These notifications appear in the Notifications Center and can also be filtered directly within the boards by mentioned or updated tasks.

For users seeking a comprehensive overview of all board activities, Any.do offers the option to set up custom email digests to their Any.do account's registered email address (as seen in the Profile screen of the app). These email alerts consolidate all/specific updated and can be configured as daily or weekly digests, or as instant emails and push notifications the moment updates occur. Both admins and members have the flexibility to personalize their email notification settings for any of their boards, ensuring they stay informed in the way that best suits their workflow.

๐Ÿ•’ How to set up custom email-notifications for your boards

Any admin or member of a board can activate custom email notifications to stay updated on your terms. Whether you prefer daily/weekly/immediate summaries, or want alerts only for specific activities, you can set your preferences directly from the designated board using our web or desktop apps.

Each board can have its own unique notification settings, and your choices are private, applying only to your account. This means you can tailor your notifications for each board without affecting how other members receive updates. Everyone on the board can set their own preferences, ensuring that each person stays informed in the way that works best for them.

To activate the feature, simply:

  1. Open your preferred view via the web/desktop apps.

  2. Click the 3 dots menu next to the board title.

  3. Open "Board Notifications".

  4. Select the triggers and preferences for the notification you would like to receive and press "Save".

๐Ÿ’ก Note: To disable the feature simply choose "reset" from the same email-notifications screen.

โš™๏ธ Triggers & notifications options for email alerts

When setting up email alerts, you have complete flexibility over which notifications you receive and when you receive them. Board notifications can be configured based on specific triggers, perfect for users who want to stay informed about particular activities.

These triggers include:

  • Task Moves to a Section: Get notified when a task is moved to a selected section.

  • Task Gets a Tag: Receive alerts when a specific tag is added to a task.

  • Task is Archived: Toggle on to receive notifications when a task is archived in the board.

  • New Task Creation: Enable alerts for when a new task is created in the board.

In addition to setting triggers, you can choose how you receive these notifications through various preferences:

  • Instant Push & Email: Receive a push notification and an email immediately after each trigger occurs.

  • Daily Email: Get a summary of all your selected activities every day at 09:00.

  • Weekly Email: Receive a comprehensive summary of your chosen activities on the first day of the workweek.

These options allow you to receive all updates from the Notifications Center and filtered board activities as an email digest, providing a comprehensive overview of your board's activity directly in your inbox. This ensures you stay informed about your team's progress and task updates in a way that suits your schedule.
