Managing Tasks
What is it?
Managing tasks is the core of productivity! Adding and completing action items as you go throughout your day, helps you stay more organized and productive. You can add as many attributes to any task as you wish, so that you never forget any important due-time or any crucial details. The Task Menu is where you can edit and manage each and every active task on Any.do. From the task menu you’ll be able to edit its title, Reminders, List, Tags, notes and attachments, and also complete it or delete it and more.

How does it work?
- Tasks can be added using various options on each platform, via our Integrations and extensions, or even by using your voice.
- You can also email your tasks from the same email address as your Any.do account. Your subject line will become the task’s title, and the email’s body will become the notes.
- To move a task between categories or lists, simply drag and drop it to the preferred location.
- To edit a task open its Task Menu. You’ll be able to edit its title, Reminders, List, Tags, notes and attachments, and also complete it or delete it!
- Completing tasks can be easily done by swiping an item, or using the checkboxes available in both our Task and Calendar views.
- On the mobile, you can also tap the Focus Mode button, for a simple way to stay concentrated on completing the task at hand.
Note: The task title has a limit of a 1000 characters.
To add a task
Android/ iOS
Use the Quick-Add bar at the bottom of your screen, to add a task by typing its title. You can customize your task using natural language, with the Smart Type feature.
To add a task by voice, click the on your keyboard.
From any of your lists, filtered by Time categories or by List, tapnext to the time category/ list title, to add the task to that exact category.
Tasks can also be added from outside Any.do using the Widgets.
Web/ Windows/ Mac
Add a task using the , from the bottom of the any desired list/category.
Note: The task title has a limit of a 1000 characters.
To edit a task's title
Android/ iOS
- Tap on a task to open its Task Menu.
- Tap on the task’s title to edit.
- Press “Enter” on your keyboard, or tap anywhere on the screen to save the change.
On Android, you can long press the task title from the main Task View, and edit it without opening full task menu.
Web/ Windows/ Mac
- Click on a task to open its Task Menu.
- Click on the task’s title to edit using the grey text box.
- Click anywhere on the screen to save the change.
Note: The task title has a limit of a 1000 characters.
To move a task to a different list
Android/ iOS/ Web/ Windows/ Mac
- Tap on the task to open its Task Menu.
- Tap on the ‘List’ drop down option.
- Select the list you would like to move the task to.
Alternatively, you can simply filter the “All Tasks” view by ‘List’, and drag and drop the task from one list to another.
Completing, deleting and archiving tasks
To complete a task:
✔️ Android/ iOS
Swipe the task from left to right, or check the circle on the left. Or, tap on from the top left of the task menu and press” Mark as complete”.
✔️ Web/ Windows/ Mac
Check the circle on the left side of the task. Or press the from the task menu.
To delete a task:
Press the button on the right side of a completed task, or tap on
from the top left of the task menu and press “Archive”.
To delete (archive) completed tasks:
✔️ Android/ iOS
- Tap on
to open the options menu.
- Click on
to move all completed tasks to the “Completed Tasks” folder.
If you have “Shake” enabled in your mobile app Settings, you can shake your device to clear all completed tasks.
✔️ Web/ Windows/ Mac
Tap on the “X” button next to the list’s title .
To permanently delete tasks:
- Go to the app Settings
- Go to the “Archived Tasks” folder
- Select “Delete All” to permanently clear these tasks.
Note: Once you clear tasks from the “Completed/Archived Tasks” folder, you will not be able to access them again.

To retrieve a task or restore a completed task
✔️ Android/ iOS/ Web/ Windows/ Mac
To retrieve a task, un-check the circle on the left. On mobile you can also swipe it from right to left.
To restore a deleted task:
- Go to the app Settings.
- Go to the ‘Completed/ Archived Tasks’ folder
- Swipe the task you wish to restore from right to left.
To modify a task
✔️ Android/ iOS
- To save a task tap the ‘Save’ button at the top-right corner of the Task Menu.
- On an Android device, you may also pull down the Task Menu.
✔️ Web/ Windows/ Mac
- To save a task after making any changes, simply click anywhere on the screen.
