Spaces are your shared home base in Any.do. Use a Family Space to run home life with up to 4 members – groceries, chores, travel plans and more. Use a Workspace to run team projects – sprints, client boards, content calendars, launches, ec. Your Personal Space always stays yours.

Family: Includes a shared Family Space for up to 4 members and up to 4 shareable boards. Flat price for the whole family. Explore Family
Workspace: Team collaboration with roles, permissions and unlimited boards per Space. Billing applies per Workspace (Space) and seats are billed per member inside that Workspace. If you create multiple Workspaces, you will pay for seats in each one. Explore Workspace

Workspace setup tip: Usually one Workspace per team is best. Create unlimited boards in a single Workspace and control access with roles, private boards, and public boards. Create extra Workspaces only for truly separate teams. Each Workspace is its own paid subscription, and seats are billed per member in that Workspace.

Web, Desktop (Mac/Windows), Android and iOS. You can manage most Space actions on mobile, but for full control, use Web or Desktop.

There are two easy ways to start a Space:
Upgrade or start a trial for Family/Workspace by and your Space is created automatically. Learn all about our trial plans right here.
Create a Space anytime from the app's Settings (Web/Desktop) or Home screen (mobile).
Tip: Upgrading to a shared space does not expose your personal tasks. Your Personal Space always remains private.
🖥️ Create a Space on Web/Desktop
Open Settings (click your profile icon at the top left, next to your name).
Click Create a new space.
Select For Teams (Workspace) or For Families.
Name your Space.
Add teammates’ emails separated by commas or spaces, or click Skip for now.
Name your first board.
Choose a template or click Create a blank board (top right).
📱 Create a Space on Mobile (iOS/Android)
From the Home view, tap the + under Shared Space.
Select For Teams (Workspace) or For Families.
Name your Space.
Add teammates by sharing a link or adding your contacts, or tap Skip (top right).
Tap the + under the Space you created to add your first board.
Tap Create a board, then name your first board.
To add another Space later (Web/Desktop):
Open Settings via the profile icon.
Under Spaces, click Create a new space.
👥 Invite members to your Space
Only Space Admins can invite members to the Space. If you are not an admin, you can share a specific board with an external user first. Your admin will then review and approve adding that person to the Space.
Keep in mind:
Space vs Board membership: Adding someone to the Space does not automatically add them to your boards. Add them to each board they need, or they can join public boards from the Boards directory. See how to join from the directory → Creating and managing boards
Limits: Family supports up to 4 members and 4 boards. Workspace supports unlimited boards and any number of members, billed per member in that Workspace.
Need public read‑only sharing instead? Share a board with External Viewers → External Viewers
💻 Invite on Web/Desktop
Open Settings → Manage space.
Choose your Space.
Select Invite new members.
Enter the email and click Add to space. Workspace admins can also Copy invitation link to share with their team.

Open your Family Space or Workspace.
Tap the members area or Invite.
Enter an email and press the return button to extend an invite.
🔁 Replace or remove members (Web/Desktop)
Teams evolve. It’s easy to replace or remove members as your needs change — whether someone is moving roles, a contractor is rotating off, or a new teammate is joining.
Handing off work? Reassign tasks & checklists → Assign members
Remove a member
Go to Settings → Manage space.
Select your Space, open the member menu, then choose Remove.
Tip: If a member is the sole admin of a board, transfer the board’s admin to another member before removal.
Replace a member
Remove the existing member first to free the seat.
Use Invite new members to add the replacement.
⚠️ Crucial to avoid extra charges: To switch members, you must remove the old member first, then invite the new one. If you invite the new member before removing the old one, the system treats it as adding an extra seat and you will be billed for it.

Keep access simple: give the right people the right permissions without overthinking it. Use Space roles for account-level membership and billing, and Board roles for project-level permissions.
